We're looking for an organised, detail-focused Secretariat Officer to provide high-quality secretariat and administrative support for Council and Committee meetings.

In this role, you will coordinate meeting processes from start to finish ensuring agendas and papers are accurate and delivered on time, meetings run smoothly, decisions are clearly recorded, and actions are followed through.

What you'll do:

  • Coordinate agendas, reports and meeting papers within required timeframes.
  • Work with teams across Council to gather, track and quality check meeting documentation.
  • Support meeting logistics, including venues, technology, livestreaming, attendance and deputations.
  • Attend Council and Committee meetings and prepare accurate minutes, resolutions and action records.
  • Maintain and monitor resolution and action registers, following up outstanding items.
  • Publish and distribute approved agendas, minutes and meeting outcomes.
  • Maintain accurate and accessible governance records and archives.
  • Apply relevant legislation, Standing Orders, policies and governance requirements.
  • Handle confidential and sensitive information with discretion and integrity.
  • Help improve secretariat, meeting administration and governance processes.

You will support the team with day-to-day administration, records and documentation, meeting coordination, communication, reporting and project activities.

We're looking for someone who shares our values of One, Respect, Accountability, Courage, and Resilience. The Ideal candidate will have:

  • At least two years' experience in secretariat, governance administration or a similar role, including preparing minutes for formal meetings.
  • Experience coordinating agendas, meeting papers, minutes and resolutions to strict deadlines.
  • Strong written communication, proofreading and attention-to-detail skills.
  • Excellent organisation and the ability to manage competing priorities with limited supervision.
  • The ability to interpret and apply legislation, policies and procedures.
  • Strong interpersonal skills and confidence working with elected representatives, senior leaders, employees and other stakeholders.
  • Sound judgement and the ability to manage sensitive and confidential information appropriately.
  • Proficiency in Microsoft Office and confidence using electronic document, records and meeting management systems.
  • A proactive, flexible and collaborative approach.

Experience in Queensland local government or the public sector and knowledge of local government governance and meeting processes will be highly regarded.

Knowledge of the Torres Strait region, its communities and Ailan Kastom is also desirable. Knowledge of Meriam Mer, Kala Lagaw Ya or Torres Strait Creole would be highly regarded.
